General Administrator

General Purpose

AIRSYS North America is a subsidiary of AIRSYS Refrigeration Engineering Technology, a global manufacturer of HVAC systems. AIRSYS HVAC systems are price competitive and carry superior efficiency and as such are quickly gaining traction in the marketplace. We are looking for an extremely detail oriented candidate who can provide general administrative support to the company as we manage the growth of this business.

Job Responsibilities:

 Financial Operations: Be able to provide back up for both AP and AR functions such as

• Paying service contractor and other invoices with proper record keeping in the system • Invoicing of customers as needed

• Following up on late payments from customers • Organize monthly credit card and reimbursement charges for the company

• Communicating and enforcing finance policies, such as late payment fees

 Sales Operations: Provide back-up to Sales Operations by establishing competence in the following areas:

o Quotation generation

o Freight estimation

o Sales order entry and approval

o PO generation

 General Department Support:

o Personnel management (aka HR): Under the guidance of the Global Marketing Manager and Operations Manager, assist with creation of HR policies and monitor subsidiary compliance, track employee milestones and ensure the organization is in front of those milestones with the appropriate actions (hiring anniversaries, performance reviews, birthdays, etc.)

o Contracts management and compliance: Maintain and comply with all contracts and agreements (NDA and COI renewals, online vendor compliance databases, etc.)

o Scheduling and coordination: Coordinate any activities that require/warrant the majority of the department’s personnel attend; (regular monthly/quarterly meetings, team building activities, interviews for open positions, booking travel accommodations, company events, etc.)

o Office management duties including:  Maintaining office supplies  Coordinate local service for building maintenance/repair/upgrade projects

Job Requirements:

 Reporting to Santa Barbara Office location

 Extensive outreach via phone and email.

 MSOFFICE work in Excel, Word and Power Point

Minimum Qualifications:

 4-year degree preferred

 Solid email communication etiquette

 Finance knowledge a plus

 Experience with CRM and ERP systems a plus
